The Hermitage Clinic are seeking experienced Administrative Assistants to assist across various teams/departments within our clinic. We have the following positions available:

Duties of our Administration Assistants may include but are not limited to:

  • Ensure that all your contact with patients, clients, staff and visitors are courteous and professional and the service delivered meets with the agreed specified protocol and turnaround time of results and / or reports to clients.
  • Provide a range of comprehensive administration duties including accurate audio typing, and word processes in the production of letters to our clients.
  • Respond to enquiries in a helpful manner directing clients to the right source if they have come to us in error. This encounter may be on the telephone or u201cface-to-faceu201d.
  • Assimilate knowledge of our range of products in radiological investigations.
  • Use the computer system, Meditech, for client records and registration, Order Entry, Billing and Cashiering routines, scheduling appointments for medical investigation procedures and the Radiology Information System for clinical reporting.
  • Adhere to the strict procedure of client registration in Meditech, establishing payment arrangement and/or obtaining the required documentation and information from our patients if payment is by 3rd party payer, before acceptance for treatment.
  • Comply and to adhere to policy regarding the keeping of medical records and the minimum data set to be collected from our patients in order that data can be inputted and retrieved correctly in Meditech.
  • Utilise department protocols and set standards to continually undertake administration and customer service procedures of the highest quality
  • Maintain confidentiality in relation to all information regarding patients in accordance with the Clinic’s Data Protection Policies
  • Daily management of patient’s charts and related patient information held in electronic and hardcopy.
  • Attending to patients’ queries, requests for charts and other enquiries both in person and over the telephone.
  • Tracking patient charts to relevant departments, consultants and wards.
  • Liaise with other departments, wards, doctors and other hospitals for the purpose of retrieving such chart before the day of the clinic.
  • Tidying up all the charts that have been pulled for clinical areas by replacing old or torn charts with new ones. Liaise with other personnel such as nurses, registrars, consultants, within and outside of the hospital, for the purpose of retrieving patients’ medical results.
  • Sorting and preparing of patients’ medical charts and other patient data accurately and timely with agreed hospital standards.
  • Filing the charts back in the filing cabinet and tracking accordingly.
  • Dealing with requests for copy of medical records under the Data protection Act.
  • Providing other comprehensive administrative service to the medical record process.
  • Actively participate in the development and process of scanning and archiving on the Meditech System.
  • Ensure that work processes are streamlined to maximise productivity.
  • Participate in quality audit checks and audits on Records being returned.

About you

Essential requirements for the ideal candidate:

  • Minimum 2 years’ experience in Administration
  • Familiar with a computerised patient information systems
  • The ability to interact and communicate effectively with multidisciplinary staff members within the Hermitage Medical Clinic.
  • Flexibility/adaptability
  • Good Microsoft office skills to include MS Word and Excel
  • Excellent written, verbal communication skills
  • Good time management and organisation skills whilst maintaining attention to detail
  • Ability to remain confidential with patient information
  • Ability to have empathy with patients
  • Practice high standard of customer service and care

Desirable requirements for the ideal candidate:

  • Experience with Meditech,system
  • Experience working in a Healthcare environment
  • QQI (or other) qualification in medical administration and terminology
