Job Title:   Medical Secretary 

Reports to: Consultant Cardiologist 

Service Relationship: Business Services Manager

Location:  Bon Secours Hospital Dublin   

Job Purpose

Due to the continued growth of the Hospital’s cardiology department, we are recruiting a Medical Secretary, to provide a comprehensive, confidential administrative support to our Cardiology Department. The role primarily involves preparing and executing clinics, appointment scheduling, surgery/out-patient scheduling and clinic correspondence management. The fundamental philosophy guiding this position is to promote and preserve the Bon Secours Mission, Values and Ethos. 

Key Duties and Responsibilities:

  • Perform secretarial duties utilising specific knowledge of medical terminology.

·Responsible for the provision of wide ranging administrative support to the Consultant, ensuring that all tasks are performed to the highest standard. 

·Manage and Organise Clinic Schedules: communicating with patients, booking appointments, preparing for daily clinics and managing clinic progression, responsible for surgery scheduling.

·Administration and co-ordination of correspondence:  audio-typing and proof-reading all dictation ensuring all terminology is correct. Excellent attention to detail  is essential. 

·Compiling and recording medical reports and correspondence.

·Billing: responsible for insurance billing and invoicing on a daily basis.

·Telephone: managing the telephone, ensuring all calls are received, recorded and dealt with within an appropriate time frame.

·You will be joining a fast paced practice, which is patient care and service orientated. Professional appearance and flexibility is required.

·Be part of a team of secretaries.

Person Specification

Essential Qualifications

Achieved Leaving Certificate or equivalent

Essential Experience

Previous experience in an administrative or secretarial role within a busy environment

Desirable Experience

Healthcare Experience

Essential Knowledge and Skills

Excellent typing and administration skills

Audio typing is essential

Knowledge of medical terminology

Desirable Knowledge and skills

Knowledge of imeddoc and pims

Knowledge of cardiology terminology and associated administration processes.

Have flexibility and good organisational ability

Accuracy and attention to detail is paramount

Possess the ability to work under pressure

Ability to maintain a high degree of confidentiality
