Role Business and Operations Manager

Reports to The GP Partners

Responsible for: Practice Managers, Practice Nurses, Secretaries.

Hours 37.5 hours

Role Summary

The role of the business manager is to provide effective operational leadership and support across three centers and to include:

  • Direct day to day operational management & oversight
  • Increase practices’ revenue through growth & retention of patients, new service initiatives & 3rd party relationships
  • Communicate effectively with colleagues from different disciplines including doctors, nurses and administration
  • Execute & deliver the service proposition

Responsibilities

Finance:

  • Key role to deliver the agreed business targets
  • Maximise practice income ensuring all claims are processed and subsidies are claimed in a timely manner
  • Maximise income opportunities in each practice
  • Develop and implement processes for internal financial audits
  • Complete payroll & ensure compliance with relevant legalisation
  • Co-ordinate activities across all three practices to achieve cost savings and maximise efficiencies
  • Prepare year end accounts for partners
  • Establish key relationships with the partners’ accountants and PCRS

People:

  • Oversee the recruitment process for all staff
  • Oversee individual performance, appraisals, performance management
  • Develop strong relationships with key stakeholders within the HSE
  • Provide leadership and support across all three practices embedding a culture of reasonableness, accountability & fairness
  • Lead out a series of change management initiatives by positively engaging teams
  • Promote practices’ polices ensuring all staff adhere to guidelines
  • Develop and implement local policies, procedures & guidelines using evidence-based best practices
  • Manage disciplinary & grievance procedures when required

Health & Safety

  • Oversee the annual training programme & Health and Safety Programme
  • Oversee and manage the practice specific risk factors and agree actions and timelines
  • Health & Safety statements completed and actioned yearly

Patient Experience:

  • Oversee the end to end complaint and incident management process
  • Build a sustainable patient culture of safety, excellent patient care & collective responsibility across all practices
  • Proactively review current service proposition
  • Evaluate new technologies & procedures to enhance the overall patient experience
  • Oversee and advise on the upkeep of practice websites and marketing campaigns

Requirements

  • Previous senior management experience 3 years + in a private sector organisation including responsibility for financial aspects
  • Previous practice management experience desirable – suitable for someone looking to broaden their scope and have additional operational responsibilities
  • Proven ability to work in a team environment and using own initiative
  • Proven ability to work under pressure to deadlines while being professional & organised
  • Experience in leading and motivating diverse teams and in maintaining a positive work environment
  • Experience implementing best practice in employee management and Health & Safety
  • Strong business acumen and commercially focused
  • Experience working with Microsoft Office on a day to day basis
  • Degree in Business or similar would be an advantage as would experience running/managing payroll

Locations 

  • Mainly based in Tallaght with centre locations also in D16
  • This role is mostly centre based however flexible working from home arrangements can be made for unplanned situations as necessary.

Salary

  • €60,000 – €70,000 per annum depending on experience.
