About the role

The Radiotherapy Assistant is responsible for administrative and secretarial tasks associated with the running of the Radiotherapy service. They will act as an assistant to the Clinical Director of Radiation Oncology and the Radiotherapy Service Manager in providing support to the clinical activities and clerical needs of the department. The Radiotherapy department is a multifunctional service and provides treatment for patients with both cancerous and non cancerous conditions.

Key tasks of the role include but are not limited to:

  • Compose correspondence for consultants and department, including Dictaphone typing.
  • Produce invoices and receipts as required for Clinical Director of Radiation Oncology (CDRO)
  • Maintain spreadsheets and records pertaining to activates for the CDRO, RTSM and Radiotherapy department, including book keeping and collections of fees.
  • Maintain a database of patients for various services within the department including that of the CDRO, Radiotherapy and Cyberknife services.
  • Compose documentation as required by Radiotherapy Services Manager (RTSM)
  • Organise Dr’s clinics and appointments
  • Organise notes and forms for clinics and admission
  • Maintain accurate records and patient charts
  • Complete insurance invoicing
  • To provide a clerical back up to the Radiotherapy Administrator.
  • Prepare patients charts for admission and discharge.
  • Accurate and detailed patient information data input on Mosaic Radiotherapy system, Meditech Hospital System, CRIS Radiology system and other local systems.
  • Point of contact for telephone messages, and dealing with queries from health care professionals, patients and relatives.
  • Liaise with patients and staff regarding appointments
  • Upload quality documentation to electronic database
  • Compose documentation as required by Radiotherapy Services Manager (RTSM)
  • General office duties including scanning, filing, diary management and typing.
  • To support Radiation Therapists in their work with patients.
  • To be familiar with Hospital Policies in relation to Health and Safety, Hospital Risk Management, Fire, Infection Control, Waste Disposal, Smoking Policy, Complaint’s Procedure and the Patient’s Charter.
  • Report all accidents and incidents involving self, patients, or visitors to Radiotherapy Manager or Clinical Specialist.
  • Stock control – Monitor and maintain stock levels for the clinical service
  • Check rooms for information booklets, questionnaires, etc
  • Deliver and collect messages from other departments as required
  • Treat patients at all times with respect and dignity
  • Maintain strict confidentiality at all times both in relation to patients and staff
  • Answer telephones – referring queries, in relation to patients, to the appropriate personnel
  • Provide empathetic and caring support to patients, families and carers
  • Assist staff when information needed from other hospitals.
  • Contacting consultants from outside the dept. as requested by RO’s/Physics /RT’s.

Essential Requirements

  • Experience of working in a Clinical/Hospital environment- preferably working with clinics and providing support to hospital staff and consultants
  • Good knowledge of office related administrative tasks and good record keeping
  • Excellent secretarial and organisational skills
  • Excellent Knowledge of Microsoft office – including Microsoft word, Excel, and PowerPoint
  • Good communication skills essential
  • Ability to work under pressure and deal with difficult situations.
  • Understanding of Medical terminology
  • Demonstrate flexibility in working
