Orwell Healthcare is seeking to recruit a Receptionist to join our front office team. The front office operates seven days per week. This role requires a flexible shift roster working 3 days over seven days including a weekend every 3. This is a part time position working an average of 24 hours per week.

Main Purpose of the Role:

The successful candidate will work as a member of the front office team, reporting directly to the Reception Supervisor/Bed Manager. The successful candidate will manage all aspects of reception including telephone, faxes, emails, visitors, deliveries and general enquiries while also maintaining the confidentiality of Orwell Healthcare information and residents at all times.

Duties and Responsibilities:

  • To take enquires and arrange viewings
  • Ensure that the preadmission & occupancy lists are kept up to date
  • Process monthly small bills for residents and record and receipt payments.
  • Process convalescent patient accounts.
  • Process incoming and outgoing post.
  • Order, record and ensure daily newspapers are delivered to the units for the residents
  • Organise couriers, mini bus and taxis as required.
  • Record lab tests sent to Hospitals and organise transport for same.
  • Keep Care Monitor updated with resident’s details and finances.
  • Maintain all resident filing in accordance with HIQA guidelines.
  • Provide administration support to Management and Nurses if required
  • To support in sales and marketing as required and maintain stock of brochures and tariff sheets.
  • To keep all nursing forms and admissions folders up-to-date.
  • To process delivery dockets and purchase order forms in accordance with the correct procedure.

The ideal candidate will possess the following:

  • Minimum one year of experience with Reception or in a similar role.
  • Ability to work in a small team / busy environment and communicate clearly
  • Excellent Microsoft Excel and Office experience.
  • Excellent verbal and written skills essential in English.
  • Professional telephone manner
  • Well-developed organisational and time management skills
